A tool that shortens a task somebody does every day, or that catches a client who would otherwise have gone elsewhere, is worth a subscription. A tool that is interesting is not. If you cannot name the process it replaces and roughly what that process costs you now, you are collecting software.
The second test is exit. Can you get your data out, and does anything you build inside it survive you switching.

One process, one measure. Median reply time, or consults booked, or hours somebody spends on a task on a Friday.
Run it beside the old way, not instead of it
For one week both exist. Nothing client facing depends on the new one yet.
Give it the least access it needs
One calendar, one folder, one inbox. Read only unless writing is the point, and a human approval step in front of anything that sends or charges.
Decide on the number, then keep or kill it
If the number did not move, cancel it that day. A tool kept out of politeness becomes a line item you find again next year.
