What an AI agent is.

An AI agent is software that is given a goal, decides for itself which steps to take, uses tools to take them, and checks whether it got there. The important word is decides.

A regular AI assistant produces text when you ask for text. An agent takes the goal, reads your calendar, drafts the reply, books the slot and tells you it is done. One answers. The other acts.

The plain test: could it complete the task while you were asleep, and would you find out afterwards what it did? If yes, it is an agent. If it needs you at every step, it is an assistant with a good vocabulary.

Uses tools: a calendar, an inbox, your practice software, a browser.

A plain instruction with a finish line. Answer every new enquiry inside five minutes and book the ones that want an appointment.

The model

The reasoning part. It reads the situation, decides the next step and writes what needs writing. This is the piece people mean when they say AI.

The tools

What it is allowed to touch. Your calendar, your text messages, your intake form, your practice management software. An agent with no tools cannot do anything, and an agent with too many is a risk nobody sized.

The loop and the record

It acts, checks the result, and tries the next step. Everything it did is written down with a timestamp. Without that record you have no way to check it, which makes the record the part that matters most to you.

The textbook breakdown is useful once. The practical breakdown is what you actually buy.

Single agent: one job, one goal, one set of tools. Almost everything a small business needs is this.
Multiple agents: several narrow ones handing work to each other, each doing one job well.

Where AI agents fall over.

An agent is confident when it is wrong. It does not know what it does not know, so a wrong answer arrives in the same tone as a right one. That is why anything a client reads needs a person between the agent and the outside world, and why every action needs to be written down where you can check it.

An agent can book an appointment. It cannot decide whether taking that patient is good for your practice. And it inherits your process: point one at a messy process and you get the same mess, faster.

It will be wrong sometimes and it will sound certain doing it.
It needs a record of every action, or you cannot verify anything it claims.
It should never be the last check on anything a client sees.
It will not fix a broken process. It will run the broken process at speed.
Anything touching patient or client information needs the privacy question answered before, not after.

Is ChatGPT an AI agent?
Not by default. Plain ChatGPT answers what you ask, which makes it an assistant. It becomes agent shaped when it is given tools and allowed to take steps on its own, which the newer modes can do. The distinction is whether it can act without you there.
Who are the big 4 AI agents?
There is no official big four, and anybody presenting one is selling something. The models most agents are built on come from a small group of labs: OpenAI, Anthropic, Google and Meta, with Microsoft packaging them for business use. The agent you end up using is usually somebody else's product built on one of those.
What is an example of an AI agent?
A missed call at seven in the evening that gets a text back in ten seconds, asks what the person needs, offers two appointment times, books one and puts it in the calendar with a note for the morning. Goal, decisions, tools, record. That is the whole shape.
What are the 5 types of AI agents?
The textbook five are simple reflex, model based reflex, goal based, utility based and learning agents. In order they go from responding to what is in front of them, to keeping track of context, to working towards a goal, to weighing trade offs, to improving from results.
Do I need an AI agent for my business?
Only where you have a repetitive job with a clear finish line and nobody with time for it. Answering after hours qualifies for most practices. Anything requiring your professional judgment does not. If the honest answer for your business is no, I will tell you that.
