What speed to lead means.
Speed to lead is the time between somebody raising their hand and a human being reaching them. Not the time to an automatic acknowledgement. The time to a real conversation.
It matters because a new enquiry is a moment, not a record. The person filling in your form has three other tabs open, and the shortlist gets made in the twenty minutes after they hit send.

What the response time research found.
The five minute figure comes from the Lead Response Management study led by James Oldroyd, which examined a large set of inbound enquiries and found that reaching someone within the first five minutes rather than half an hour raised the odds of a qualifying conversation by an order of magnitude, and that the odds fell off sharply through the first hour.
Harvard Business Review reported a related finding in 2011, in a piece called The Short Life of Online Sales Leads. Firms that responded within an hour were several times more likely to have a meaningful conversation than firms that took longer, and a substantial share of the companies audited never responded at all.
Both studies are old enough to name honestly, and the direction has only sharpened since. Treat five minutes as the target and one hour as the line past which you are usually competing for second place.

Almost never in the willingness of your staff. In every practice I have looked at, the delay sits in one of five places, and four of them are structural.
The person who answers is with a client
The front desk is doing the thing you hired them for. The enquiry waits, and by the time they get to it the moment is spent.
It arrived after hours
Evenings and weekends are when people research a practice, and it is exactly when nobody is there. This is usually the biggest single bucket.
The form goes to an inbox nobody owns
Info at your domain, forwarded to three people, owned by none of them. Everybody assumes somebody else replied.
The call went to voicemail and nobody called back
Missed calls are the quietest loss in the building, because they leave no record anyone reviews.
The reply requires information only one person has
So the enquiry waits for that person's calendar rather than for anyone's attention.

Everything is logged with the time it happened, and anything that needs judgment gets handed to a human with the context attached.
The line I hold is that AI never pretends to be a person and never handles anything clinical, contractual or priced by exception. It covers the gap between the moment and the human, which is where the losses actually are.
