The shape is always the same. A trigger, a rule, an action, and a record. A message arrives. The system checks something. It writes, files or books. Then it logs what it did, with a timestamp, so you can go and read it.
That last part is the part that matters and the part most vendors skip. A system you cannot audit is a system you have to trust, and you have already been asked to trust enough software this year.
Where your data goes deserves a direct answer. The models most of this runs on are hosted services, so text you send them leaves your office. Fine for a marketing email, not fine for a medical record or a client file, and the difference is a setting rather than an opinion. Anything sensitive gets handled by a model that does not train on your data, or by one on hardware nobody else touches.

Pick one task that happens daily, that a new hire could be taught in an afternoon, and that no client sees. Build that, live with it for a month, then pick the next one. Businesses that try to automate a whole department at once are still talking about it a year later.
The first month should produce a working thing, not a plan. Something that ran, logged what it did, and saved a real task. If month one ends with a strategy document, the money went to the wrong place.
What AI cannot do, so you do not buy the wrong promise. It cannot decide what your business should do next. It cannot be accountable to a client or a board. It cannot be relied on for a fact it was not given. And it cannot fix a business whose real problem is that too few people know it exists, which is marketing.
