AUTOMATED REVIEW REQUESTS

You Click Send. It Finishes.

Two follow-ups, capped, and it goes quiet the second somebody records. One flag stops every send at once, and I am the one operating it rather than you.

drop: Automated review request sent to a client from a service business front desk

at a glance

An automated review-request system: a request goes out on a human click, a fixed-cadence reminder nudges anybody who has not recorded yet, the testimonial gets collected and published, and a daily pass brings in Google reviews, all on rails, with an atomic stage claim, a hard two-nudge cap, business-hours-only sending and an instant stop flag.

the problem
Service businesses live and die by their reviews, but the ask is a favor and the chasing is manual.
who has it
Owner-operated local service businesses, clinics, med spas, home services and professional firms, and any operator collecting testimonials by hand.
the pain
The owner means to ask, sends a few, never follows up, and the testimonial yield stays low. Manual follow-up does not scale, and a careless auto-nudge embarrasses the brand by chasing somebody who already replied.
cost of doing nothing
A thinner review profile than competitors, weaker local search trust signals, and fewer testimonials to put on the site, all of which quietly cost booked revenue.

01 · WHY REVIEW REQUESTS DIE

Why review requests die.

A review is a favor, which is why asking for one keeps sliding down the list. You mean to ask. Sometimes you do. Almost nobody follows up, because following up on a favor feels worse than the first ask.

So the yield stays low, and the low yield never shows up anywhere. No line on any report says what a thinner review profile cost you this quarter, which is why owners underinvest in it for years.

The naive fix makes it worse. Bulk-message a list and you nudge people who already replied, you fire at odd hours, and once it is running there is nothing to pull.

02 · REVIEW REQUEST AUTOMATION

What happens after you click send.

You pick the customer, choose email or text, and click send. That first action is always a human one, never a blast. From there the engine carries it.

A personalized link goes out on email, text, or both
If nothing comes back, a reminder goes at three days and again at seven days, then it stops
When the customer records, the testimonial gets collected, polished and published
Your Google reviews get pulled in every day, so collected testimonials and on-platform reviews sit together
You get a receipt in Slack every time a reminder goes out

03 · AUTOMATED REVIEW FOLLOW UP

Why the follow-up never nudges twice.

Underneath the simple experience are the guardrails that make an unattended send trustworthy, because a careless nudge embarrasses you in front of the exact person whose goodwill you were asking for.

Each reminder stage gets claimed by a single atomic database update, so even if two scheduled passes overlap, only one can send. Before any reminder goes out, the system re-checks whether the customer already recorded, whether the request was already used, and whether anybody flagged it to stop.

If a send fails, the claim is released and the stage tries again on the next eligible pass. If it succeeds, it is stamped and finished.

No double sends, ever, because the stage claim is atomic
It re-checks at the moment of sending and goes quiet if the customer already recorded
Reminders go on the same channel as the original ask, from your own address, so replies reach a person
Weekday business hours only, so nobody gets a nudge at eleven at night

04 · REVIEW AUTOMATION KILL SWITCH

The kill switch you can reach.

Anything unattended needs a stop that does not require a developer, so the switch and the timing sit in one configuration row rather than in code or in a deploy.

Flip one flag and every follow-up send halts at once. No redeploy, no release window.

The same row holds the cadence: how many follow-ups, capped at two, the delay to the first, and the delay to the second. If a client wants a softer touch, the numbers change in place and the next pass respects them.

One flag halts every follow-up send instantly
Follow-up count and both delays are tunable in place
The test-force flag cannot override the stop flag, on purpose

05 · GOOGLE REVIEW AUTOMATION

Google reviews in one place.

Collected testimonials are half the picture. Your Google reviews are the half a buyer reads first, usually before they open your website.

Every day, your Google reviews get pulled into the same ledger as the testimonials you collected, so the video somebody recorded last week and the five-star review they left last month sit on one surface.

One page shows requests sent, testimonials waiting, testimonials published, and Google reviews brought in. Nobody has to click refresh or toggle between tabs to see where your reputation stands.

06 · REPUTATION SOFTWARE COMPARISON

Your four reputation software options.

You have four, and you are already on one of them.

OptionWhat it costsWhat goes wrong
Ask by hand, follow up from memoryYour time, every single weekThe follow-up rarely happens, so the yield stays low and never compounds
A reputation platform like Birdeye or PodiumA monthly seat fee per locationAnother login somebody on your staff has to run, plus generic templates and a platform to learn
Do nothingNothing todayCompetitors out-review you and the gap does not surface anywhere until it is large
Review Lite, operated for youFive hundred a month on the reputation lineThe cap is two nudges by design, so if you wanted an aggressive chase this is the wrong tool

07 · AUTOMATED REVIEW REQUESTS PRICING

What review automation costs.

$1,000 a month for reputation work. Same number I quote everybody, printed here instead of held back for a call. Two services together are $1,799 and three are $2,499. No setup fee.

No setup fee. Three months, then month to month with thirty days' notice. The testimonials, the video files and the review data are yours, and your Google Business Profile stays in your own account the whole time.

Scope moves the total, not negotiation. One service line is five hundred a month, and adding a second applies the bundle rate to both.

What I will not promise is a number of reviews. That depends on your customers, not on me. What I will promise is that every request and every reminder is a dated row you can open yourself.

08 · COMMON REVIEW AUTOMATION QUESTIONS

Review automation questions.

What are automated review requests?
A system that sends a customer a link to leave a review or record a testimonial, follows up on a fixed schedule if they do not, then collects and publishes the result. You trigger the first send and the engine handles the rest.
Will the follow-ups annoy my customers?
There are at most two, at three days and seven days, sent only during weekday business hours, and it stops the instant a customer records. The cap is hard, and a reminder never reaches somebody who already replied.
Can I stop it if I need to?
Yes, instantly. One flag turns off every follow-up send with no redeploy and no waiting. The cadence and the follow-up count are tunable in the same place.
Does it work with my Google reviews?
Yes. Your Google reviews come into the same place as your collected testimonials every day, so your whole reputation sits on one surface.
How is this different from Birdeye or Podium?
Those are platforms you log into and operate yourself, priced per location. I operate this one for you, there is no new login to learn, and the guardrails are identical on every client so it never surprises anyone.
Who sends the messages?
They go from your own address on the channel the original ask used, so when somebody replies it reaches a real person at your business instead of a no-reply mailbox.
